How to Deal with Unpredictable Weather at Your Event

The weather is one of the only things we can’t control, which makes planning and running an outdoor event particularly troublesome.

Imagine planning everything down to a T and then unexpected wind and rain lash down on your site. Not only will that impact the experience of your guests, but it can also cause a major safety hazard if you don’t plan things accordingly.

So much time and effort goes into planning an event, that it would be a shame for everything to fall apart simply because you didn’t prepare for all eventualities - and, when it comes to the weather, you really do need to prepare for every potential outcome.

Consider the Logistics and Layout of Your Event

First things first, it’s important to know the exact layout of your event and where every element is going to go.

Simply knowing what’s going where isn’t enough to avoid unpredictable scenarios - especially weather-related ones - but having things mapped out will help you respond quickly if the weather does take a turn for the worse.

Hire Out Generators

Even if your event is taking place on an already-powered site, it’s worth investing in several hired generators that will still be able to run if the main power grid fails.

The generators will continue to work even if the weather is so severe that it causes a power cut. For best results, get yourself a load bank, too, which offers consistent electrical loads which will help guarantee your generators won’t malfunction.

Get Yourself a Turnkey Solution

If you’re running a large outdoor event, planning all your different power needs can be a logistical nightmare if you’re using several different providers.

To make the process smoother, find yourself a company that offers turnkey solutions. They will be able to install and maintain everything you need to make sure the power keeps running as needed, whether that’s via emergency response, project management, and a variety of different equipment and features.

Not Everything Will Go As Planned

You can plan everything absolutely perfectly and things still might not go as expected. This is the risk you face as an events planner, and knowing that inclement weather might rear its ugly head is part and parcel of running an outdoor event.

As with anything, emergencies can happen at any time. Are you prepared for a rogue storm that might rip through your setup? Have you thought about a backup plan for torrential rain that might happen on the day? How would these severe weather conditions affect your event and the experience of your guests?

If you do find your event beaten down by the elements, it’s important to seek out rapid response services as quickly as possible. They’ll have the knowledge and expertise to get your event back up and running in no time at all.

Get a Backup Plan in Place

The weather is its own beast, and part of running an outdoor event means dealing with the consequences of any severe weather conditions.

In the first instance, you should always have a backup plan, whether that’s a series of hired generators that are separate to the main power supply, or a rapid response service on call if anything goes wrong.

The weather shouldn’t make or break your event and, if you prepare and plan in advance, it won’t make a difference if it’s glorious sunshine or lashing rainfall.
